Description
Overview: Apex Veterinary Specialists provides exceptional specialty veterinary care in Dentistry and Dermatology. We are seeking a motivated and experienced Hospital Administrator to join our team and contribute to our mission. Reporting directly to the COO, the Hospital Administrator will be responsible for team development, upholding medical and customer service standards, fostering a positive culture, and overseeing the financial performance of the hospital. This role requires strong leadership, excellent communication skills, and a commitment to continuous improvement.
Key Responsibilities: Leadership: Create a High-Performing Team: - Develop and implement growth strategies for the business.
- Communicate objectives clearly, motivate staff, and maintain morale.
- Manage Key Performance Areas (KPAs) to ensure team members reach their potential.
- Define individual development plans and conduct monthly one-on-ones.
- Perform annual performance evaluations and resolve any performance issues.
- Oversee recruiting and hiring to fill open roles.
- Provide technical and strategic leadership, ensuring standard processes and tools are used.
- Maintain certifications for all team members.
- Delegate effectively and engage the team in practice operations.
- Oversee ongoing training and coaching to improve job performance.
- Build personal relationships with team members.
Human Resources: Maintain Medical Policies and Procedures: - Ensure compliance with all medical policies and procedures.
- Plan and meet optimal staffing needs to maximize productivity and service.
- Coordinate with the Director of Human Resources for accurate payroll processing.
- Review compensation levels and benefits with the COO periodically.
- Facilitate phase training and plan for continuing education.
- Promote a positive work environment and cultivate teamwork.
- Act as a point of escalation for staff questions and assist in solving issues.
- Step in to fill work or service gaps as needed.
Practice Development: Act as a Thought Leader: - Support social media and marketing efforts.
- Maintain and stimulating the referral base with community outreach and continuing education event planning
- Develop, maintain, and improve standards and processes.
- Communicate the vision for the practice to the team and leadership.
- Create goals and metrics, and track progress against them.
- Maintain medical standards as set by the Medical Director.
Customer Focus: Oversee the Customer Experience: - Ensure exceptional client service throughout the practice.
- Act as an advocate for clients, meeting their needs promptly.
- Uphold customer service standards and coach the team to educate clients.
- Achieve a high acceptance rate of treatment plans.
Operations: Develop and Manage the Budget: - Identify and address operational weaknesses.
- Eliminate waste and improve efficiency.
- Optimize revenue by managing the schedule proactively.
- Monitor, manage, and control inventory.
- Submit regular reports as directed.
- Support practice owners in reaching their goals and policies.
- Direct the business affairs of the practice in conjunction with the COO to establish goals, budgets, and protocols.
Qualifications: - Bachelor's degree in Business Administration, Healthcare Management, or a related field; MBA or equivalent advanced degree preferred.
- Minimum of 5 years of experience in veterinary practice management or a similar healthcare management role.
- Proven leadership and team-building skills.
- Excellent organizational, communication, and interpersonal skills.
- Proficiency in financial management and budgeting.
- Knowledge of veterinary hospital operations and regulatory requirements.
- Ability to handle multiple priorities and work in a fast-paced environment.
